Account Summary

The Account Summary Screen

Triggering the "Account Summary" link for a specific account or CAN in the Account Structure screen brings up its Account Summary screen.

The Account Summary screen displays a number of reports that include allocations, commitments and obligations, current balance, and projected expenses, spending, and balance for each budget category in the account, as well as totals for both OO and PS (if your user profile allows PS).

You might use this screen as a summary report in itself. Or you can use the Export to Excel icon located above the columns to export it to an Excel spreadsheet for use in creating a custom report of your own.

You can set an Account Summary screen to be the first page that you see when you log onto SOFie, by clicking on the Set Account as Default trigger located just above the amount columns. The next time you log into SOFie, you will come straight to this page. To re-set SOFie to its normal default-screen behavior (bring you to the page you were on when you last logged out), click the same trigger, this time labeled Reset Default.

The Budget Limit, Total [Allocations] Planned, and Balance columns in the upper right corner show the Budget, Allocations, and Balance totals for the account currently on the screen, for both OO and PS (if PS is applicable to your user profile). This corner box is a snapshot of the current account; as the account changes, so do the figures in the corner box.

Clicking on the Transaction Notes link brings up a list of any notes for the transactions for that account, within the budget categories shown.

To print out the summary, click on the Print icon located in the upper right part of the screen.

The combination of Select Sub-Account and Up a Level allows you to move around freely within the account group, without having to leave the Account Summary screen:

    If the current account has sub-accounts, there is a drop-down listbox on the upper left labeled "Select Sub-Account". Selecting a sub-account from that listbox narrows the summary down to just the selected account or CAN.

    If the current account is not top-level, you can expand the summary to embrace the parent and any siblings by clicking on the up a level trigger located in the upper left corner of the screen.

You can adjust the scope of the data by clicking the radio button for either "As Of Last Download" or "As Of Last Month".

If your SOFie user profile allows you to see PS data, then there is a drop-down "OO/PS" listbox on the top part of the screen that lets you choose whether to include the figures for Other Objects (OO) only, for Personal Services (PS) only, or for both OO and PS. (This setting carries over to the other screens.) If your user profile does not allow you to see PS data, this drop-down listbox does not appear on your screen at all. (By default, you see only OO data.)

Clicking on a hyperlinked dollar amount in a column takes you to the detail for that dollar type (Allocations, Commitments/Obligations, Projections) as tied to the account and the budget code on whose row the clicked amount was sitting.

    Allocation column --
    Clicking on an "Allocation" amount for a summary account takes you to its Allocation Components screen, which shows a list of allocation amounts for that budget category, for every CAN within that summary account. Then clicking on an amount in that list brings up the Edit Allocation Components screen, which lists the amount allocated to each budget category in the account.

    Clicking on an "Allocation" amount for a CAN brings up the Edit Allocation Components screen, which lists the amount allocated to each budget category in the account. (Note that the Budget, Allocations, and Balance figures in the top right Totals box change to reflect the account shown.)

      In the Edit Allocation Components screen -- To edit an allocation amount or make a note about it, click on the Edit trigger next to the amount in question. Type the desired amount and note, then click on either the Update or Cancel trigger. (You can view this list of allocation notes at any time by finding the account or CAN in the Account Structure screen and clicking on its Allocation amount.)

    Commitments & Obligations column --
    Clicking on a "Commitments & Obligations" amount for a summary account brings up the Sub-Account Details screen, which shows a monthly summary of the expenditures for each CAN under that summary account; from there, you can bring up the Transaction list by clicking on a dollar amount in the list.

    Clicking on a "Commitments & Obligations" dollar amount for a CAN immediately brings up the Transactions list for that amount.

    The Transactions list lets you make notes on a transaction as well as view its details.

    Remaining Expenses Projected column --
    Clicking on a "Remaining Expenses Projected" amount for a summary account brings up the Projection Components screen, which shows a monthly summary of the projections for each CAN under that summary account; from there, you can bring up the Edit Projection screen for an amount by clicking on it.

    Clicking on a "Remaining Expenses Projected" amount for a CAN takes you directly to the Edit Projection screen for that amount.
